    The Administrator - Digital and Technology Office is responsible for providing comprehensive administrative, coordination, and governance support to the Office of the Chief Digital and Technology Officer. The role serves as the primary point of coordination between ICT leadership, business units, internal departments, and external stakeholders to ensure the smooth execution of digital and technology initiatives.


    Key Responsibilities

    Serve as the first point of contact for the Chief Digital and Technology Officer by managing correspondence, telephone calls, and visitor enquiries.
    Provide administrative and coordination support for ICT and Digital strategy initiatives, action plans, and reporting activities.
    Monitor project milestones, deliverables, and reporting timelines for ICT and Digital initiatives.
    Coordinate the preparation and submission of Executive Committee and Board papers related to ICT and Digital matters.
    Maintain governance, quality, and compliance documentation while liaising with risk, compliance, data protection, and information security teams.
    Handle confidential ICT and Digital information with a high level of professionalism and discretion.
    Act as the communication link between the CDTO office, ICT leadership, business units, vendors, and external partners.
    Manage the CDTO's calendar, prioritize engagements, and resolve scheduling conflicts.
    Organize meetings, governance forums, executive sessions, and vendor engagements, including all logistical arrangements.
    Maintain efficient paper based and electronic filing systems for accurate document management and retrieval.
    Process expenses, purchase requisitions, contract administration documentation, and other finance related activities.
    Manage incoming and outgoing correspondence within the CDTO office.
    Draft correspondence, briefing notes, presentations, and other executive documentation as required.
    Coordinate local and international travel arrangements including flights, accommodation, visas, and itineraries.
    Attend meetings, prepare accurate minutes, distribute them promptly, and monitor action items.
    Coordinate ICT and Digital events, workshops, vendor forums, and executive engagements.
    Maintain productive relationships with stakeholders, vendors, and partners to support service delivery.
    Support business continuity by documenting office processes and recommending operational improvements.
    Assist in preparing ICT reports, dashboards, and executive presentations.
    Track ICT and Digital issues, risks, and escalations to ensure timely follow up.
    Maintain Executive Committee and senior management documentation related to the ICT function.
    Maintain confidential records for the ICT leadership team in accordance with HR and data protection requirements.
    Support recruitment, onboarding, and induction activities for the ICT and Digital teams.
    Provide ongoing administrative support to the ICT leadership team and perform other assigned duties.


    Qualifications

    University degree in Business Administration, Information Technology, Management, or a related field.
    Professional certification or training in administration, project coordination, or ICT governance is an added advantage.
    Good understanding of ICT operations, digital transformation initiatives, technology governance, and enterprise processes.
    Four to six years of experience providing executive administrative support to a senior leader, preferably within an ICT or Digital environment.


    Key Competencies

    Excellent organizational and time management skills with the ability to prioritize multiple tasks.
    High proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
    Strong records and information management skills.
    Excellent planning, coordination, and attention to detail.
    Strong written and verbal communication skills with the ability to prepare executive level documentation.
