The Senior Administrative Officer will oversee administrative, financial, and operational functions for multi site research programs in Kisumu. The role focuses on ensuring compliance with research regulations, managing grants and budgets, coordinating logistics and resources, and supporting collaboration with local and international partners to enhance efficient project delivery.
Key Responsibilities
Ensure compliance with institutional policies, research regulations, and international ethics standards.
Oversee contracts, sub awards, data transfer agreements, and data protection compliance.
Support audits, risk management, and governance frameworks to ensure accountability and transparency.
Lead preparation, monitoring, and reporting of project budgets in coordination with finance teams.
Oversee financial tracking, expenditure reviews, donor reporting, and cost recovery.
Manage the full grants cycle including pre award, sub award monitoring, reporting, and closeout.
Ensure procurement, logistics, and field activities are cost effective and compliant.
Monitor use, maintenance, and accountability of project assets and resources.
Lead administrative functions including office management, procurement, and logistics.
Oversee infrastructure readiness and allocation of staff, vehicles, and equipment across sites such as Kisumu and Siaya.
Supervise administrative staff, set performance goals, and conduct evaluations.
Develop and implement policies, systems, and standard operating procedures to improve efficiency.
Oversee recruitment, contracts, payroll, and staff performance management.
Ensure mandatory training in areas such as GCP, biosafety, and research ethics.
Provide mentorship and support career development for staff.
Liaise with Ministry of Health, county departments, and regulatory bodies.
Strengthen collaboration with international partners and donors.
Support community engagement initiatives and stakeholder communication.
Track project performance, milestones, and deliverables.
Ensure compliance with data security, integrity, and sharing requirements.
Support research documentation, databases, and dissemination of findings.
Qualifications
Bachelor’s degree in Business Administration, Accounts, Project Management, Public Health, Human Resource Management, or a related field.
Master’s degree is an added advantage.
Demonstrated knowledge of research governance, compliance, and donor regulations.
At least four 4 years of work experience, including two 2 years in managing research projects or donor funded programs.
Experience managing multi site clinical trials, surveillance studies, or large scale research programs.
Proficiency in MS Office, grants management systems, and research databases.
Strong leadership, problem solving, and decision making skills.
Basic accounting skills and strong report writing abilities.
Excellent communication, interpersonal skills, and ability to lead teams.
